Greenhouse stays the system of record

The Greenhouse integration is built on one principle: your ATS remains the source of truth, and Cadence takes over the scheduling and candidate-communication work around it. Candidates sync from Greenhouse into Cadence, interviews get scheduled through Cadence's self-scheduling and no-show defense, and the outcomes write back to Greenhouse, so hiring managers living in the ATS see an up-to-date pipeline without anyone re-keying data.

What syncs in

Cadence pulls active candidates from Greenhouse on a recurring sync, matching existing records by identity rather than creating duplicates, and records each candidate's linked Greenhouse application, job, and stage. Sync runs are visible in the app with counts and timestamps, so you can always answer "when did this last sync, and what happened?" without guessing. Failures are categorised and retried; a sync problem surfaces as a status you can see, not silence.

What writes back

As interviews are booked, completed, or fall through, Cadence writes the scheduling outcome back to the linked Greenhouse candidate through a retrying outbox: if Greenhouse is briefly unavailable, the update queues and delivers when it recovers, in order, exactly once. Nothing depends on a human remembering to copy a result into the ATS after a busy interview day.

Connection and security

A workspace admin connects Greenhouse with a Harvest API key created for Cadence with the minimum permissions the sync needs. The key is encrypted at rest, never shown again after entry, rotatable in place, and removable in one action, which stops the sync immediately. When a candidate is erased under GDPR, the erasure also covers the ATS-linked fields Cadence holds, in line with privacy-safe recruiting.
